1. Information we collect
When you contact us, we collect your company name, contact person's name, phonetic name in the Japanese form, email address, enquiry category and message, and personal information included in contact details or documents you send to us by email or other means.
Fields marked as required are necessary to receive and respond to your enquiry. Please complete optional fields only to the extent relevant to your enquiry. Do not send unnecessary personal information or information about another person that you are not authorised to provide.
2. How we use information
We use this information to respond to and communicate about your enquiry; understand your request; prepare related proposals, estimates and meetings; manage communications concerning contracts, services and billing if a business relationship follows; maintain correspondence records; address misuse; and meet legal obligations. We may also compile information in a form that does not identify individuals to improve our responses and services.
Contacting us does not automatically subscribe you to advertising emails or newsletters. If we intend to use information beyond these purposes, we will inform you in advance and obtain any consent required by applicable law.
3. Security and retention
We restrict personnel and access permissions to what is necessary and implement appropriate safeguards against unauthorised access, disclosure, loss and damage. We also exercise appropriate oversight of personnel and service providers entrusted with personal information. You may contact us for an outline of these safeguards. We will respond without undue delay to the extent that disclosure does not compromise information security.
We retain information only for as long as necessary for the stated purposes, taking into account enquiry handling, business needs and legal retention requirements. When information is no longer needed, we endeavour to delete it appropriately or render it incapable of identifying individuals.
Emails received for enquiries or document submissions are stored using our heteml email service and handled by the personnel who need them to respond. We manage them only to the extent necessary for the stated purposes.
4. Disclosure and service providers
We do not disclose personal data to third parties without your consent, except where permitted by applicable law.
We may entrust the handling of personal information to service providers to the extent necessary for website operations, system maintenance, email handling or other work related to the stated purposes. We review their handling of the information and exercise appropriate oversight.
Your enquiry is not automatically shared with the collaborators featured on this website. Where disclosure to an external collaborator is needed separately from processing on our behalf, such as referring your enquiry to that collaborator, we will explain the recipient and purpose and obtain your prior consent unless an applicable legal exception applies.
5. Processing outside Japan
If personal data is provided to a business outside Japan or otherwise processed abroad, we will provide information, obtain consent or implement other safeguards as required by the laws applicable to that processing. A disclosure to an overseas service provider is not exempted from these requirements merely because the provider processes information on our behalf.
6. Cookies, access information and external services
Website analytics: Google Analytics 4
Our official website uses Google Analytics 4 (GA4), provided by Google, to understand how the website is used and improve its content and navigation. Information handled for analytics includes pages viewed, referring sources, browsing and interaction information, device and browser information, and identifiers such as cookies. Communications with Google also involve network information such as an IP address.

On supported browsers, the Google Analytics Opt-out Browser Add-on can be used to limit data use by Google Analytics. Your browser settings also allow you to refuse or delete cookies. Refusing or deleting cookies does not, by itself, stop every external network request.
On the new-design pages, we do not load the GA4 tag described above until you allow analytics. Declining does not prevent browsing or making an enquiry. You can change your choice under “Cookie settings” in the footer. We store your choice in a first-party cookie for 180 days. Withdrawing permission reloads the page to stop subsequent measurement. This choice feature applies to the new-design pages, not to retained legacy-design pages.
Typography: Google Fonts
Pages using the new design load Google Fonts to display their typefaces. To retrieve font files, your browser sends network and request information, including an IP address, to Google's delivery services. This is an external file request for displaying typefaces and is distinct from the website analytics described above.

Enquiry forms: WPForms
We use WPForms running on our WordPress installation to receive enquiries. Submitted information is received by us in notification emails and used to respond to your enquiry and for related communications. The handling and retention of received emails are described in Section 3. Submissions are also retained in the entry history on our WordPress site. Depending on the form settings, IP addresses, browser information and identifier cookies may be processed to prevent abuse and manage enquiries.
Display features on retained legacy pages
Some pages that retain the earlier design load programs from jsDelivr to display charts and similar content. Retrieving these files sends network and request information, including an IP address, to the delivery service. Please refer to the jsDelivr Privacy Policy for further information.
Some of these pages also use a cookie to remember when a header notice has been dismissed. This is used to retain a display preference and is separate from the analytics described above. Restricting cookies may prevent such preferences from being retained.
7. Your requests and enquiries
To request notification of purposes of use, disclosure, correction, addition, deletion, cessation of use, erasure, cessation of third-party provision or disclosure of third-party provision records concerning personal data we hold, please contact us using the details below. Identify the enquiry or information concerned, explain your request, and provide a reply address.
After verifying your identity or your representative's authority to the extent necessary, we will respond without undue delay in accordance with applicable law. If a legal or other applicable restriction prevents us from fulfilling your request, we will explain our decision and the reason. Do not attach identity documents or unnecessary sensitive information to your initial message. If further verification is needed, we will explain a suitable secure method separately.
